Totara LMS, from the buyer's side
This page is about the decision, not the brochure. What Totara is today, who sets each part of the price, what it does that a generic LMS does not, where it stops, and what running it well actually involves. Each section is short and links to a full guide when you need the detail.
If you want the platform overview and a demo, see Totara on Lambda Learning. Come back here when you are comparing options or building the business case.
What Totara is, and what it no longer is
Totara is an enterprise learning platform built for organisations whose training has to follow their structure: who reports to whom, which role needs which skills, which credential expires when. Totara now presents its products together as the Totara Suite.
Totara Learn
The learning management system. Courses, programs, certifications, learning plans, audiences and hierarchies, and reporting. Since version 19 it also includes the collaborative features that used to be sold separately: workspaces, forums and learner-shared content.
Totara Perform
Performance and development. Goals, check-ins, performance activities and skills, working from the same organisation and position structure as Learn, so training and development draw on one record of who does what.
Totara Mobile
The app that puts learning on a phone, including content learners can download and complete offline. What offline really covers, and what to test before rollout, is in our Totara Mobile guide.
Totara Engage, retired
Engage no longer exists as a separate product. Its core features moved into Totara Learn with version 19, released in January 2025. Where each version stands now is in our version support guide. If a proposal still prices Engage as its own line, ask why.
A useful test in any demo: ask the vendor which of these the quote actually covers. Learn alone and Learn with Perform are different purchases with different setup work.
What a Totara deployment actually costs
Totara does not publish a price list, and no partner can honestly quote you from a web page. What can be explained is how a quote is built, so that any number you receive is one you can read line by line.
| Cost line | Who sets it | How it is priced | What to check |
|---|---|---|---|
| Totara subscription | Totara | Annual fee, in tiers by the number of active users on each production site | How active users are counted, and whether test and staging sites need their own subscription |
| Hosting | Your partner | Varies by partner: environment size, regions, backups, uptime commitment | Which cloud, which region, and who owns the infrastructure |
| Implementation | Your partner | Usually scoped as a project | Who builds what, and what is excluded |
| Support and upgrades | Your partner | Usually annual | Response times, and whether major version upgrades are included or quoted separately |
| AI features | Totara and your partner | Depends on which features are switched on and how they are run | Which provider processes the data, and who pays for usage |
When two Totara quotes for the same user count look very different, the subscription is rarely the reason. The partner lines usually account for more of the first-year total, and they vary far more. Lambda Learning quotes one number covering hosting, implementation, support and upgrades, scoped to each organisation. The full breakdown is in our guide to Totara LMS pricing, and our pricing page explains how we scope it.
The licence is the small decision
Totara's strength is that it can mirror your organisation. Its weakness is the same thing. Audiences, position and organisation hierarchies, job assignments, skill frameworks and enrolment rules all have to be right before learning plans, certifications and reports behave the way the demo suggested.
That groundwork decides whether Totara runs itself or needs a person to rescue it every month. Buyers who compare vendors on subscription price are comparing the one line that barely differs between them.
Start with the structure. Our guide to Totara audiences and hierarchies explains how the pieces fit, and the Totara implementation plan shows the order to build them in.
What Totara does that a generic LMS does not
Eight capabilities that set Totara apart from a course catalogue with a login. Each links to a full guide written against Totara 20.
Audiences and hierarchies
Rules built on position, organisation and profile fields put the right learning in front of the right people automatically, and keep doing so as people move. Read the guide
Learning plans
One shared record of what a learner is working on, with workflows that decide whether the learner or the manager is in control. Read the guide
Certifications and recertification
Validity periods, recertification windows, lapse handling and an audit trail, for training that has to be proven current, not merely completed. Read the guide
Reporting
A report builder that answers most questions inside Totara without a developer, and a clear line where a reporting layer becomes worth adding. Read the guide
Multitenancy
Separate tenants for member organisations, clients or business units on one site, for associations, training companies and extended enterprise programmes. Read the guide
AI in Totara
Six named AI features, from course tag recommendations to a goal assistant, and what running them involves. Read the guide
Mobile and offline
Learning on a phone, offline where connectivity cannot be relied on, with limits worth testing before frontline rollout. Read the guide
Integrations
HR systems, single sign-on, Microsoft Teams, Zoom and LinkedIn Learning, and where the setup work actually sits. Read the guide
Where Totara stops
Every platform has edges. These are the ones buyers most often discover after signing rather than before, all drawn from Totara's own documentation.
| Limit | What it means in practice | Where it is covered |
|---|---|---|
| Tenant isolation switches off learning plans | If you isolate tenants from each other, learning plans are unavailable on that site. Design your development approach around it from the start. | Learning plans |
| One source per report | Each report builder report draws on a single source. Questions that span sources, or systems outside Totara, need another approach. | Reporting |
| Report caching and multitenancy | Report caching does not function when multitenancy is enabled, which matters on large multi-tenant sites. | Reporting |
| Plan content is set at creation | Skills and courses pulled into a plan from a position are added when the plan is created. Later changes to the position do not update existing plans. | Learning plans |
| AI is recent | The generative features shipped in Totara 19.1, building on the OpenAI integration in 18.8. Test each one on your own content before promising it to users. | AI in Totara |
When the question needs learning data joined to HR, CRM or revenue data, that is the point where Lambda Learning adds Zoola Analytics. Zoola is our own reporting product, built to sit alongside Totara rather than replace it.
Hosting, residency and sovereignty
Where your learning data lives is a procurement gate for Canadian public sector, healthcare and many associations. Residency and sovereignty are different questions, and a good host answers both plainly.
| Region | AWS region code |
|---|---|
| Canada | ca-central-1 |
| United States | us-east-1 and us-west-2 |
| Europe | eu-west-1 |
Lambda Learning does not own data centres. We run Totara, and Moodle, on AWS in the four regions above, and Canadian customers' data stays wholly within the Canadian region. AWS is headquartered in the United States, which places it within reach of the US CLOUD Act, as is true of almost every major cloud platform. Our guide to Totara hosting in Canada sets out what Canadian law requires, and the questions to put to any Totara host before you sign.
The first 90 days, in order
Totara projects rarely fail on software. They slip on decisions nobody made before kickoff: who owns each responsibility, how the organisation is structured in data, and how much training history has to move.
Before kickoff
Name an owner for each workstream, agree what success looks like, and decide how much history migrates. If residency matters, settle the hosting region now too. Every one of these gets harder to change once the build starts.
Structure first
Positions, organisations, job assignments and audiences go in before courses do, along with the HR system and single sign-on integrations that keep them current. Everything that assigns learning automatically depends on them.
Then learning, then reporting
Build programs, certifications and learning plans on the structure, then the reports people will actually be judged on. Test with real users before the whole workforce sees it.
The week-by-week version, including who does what, is in our Totara LMS implementation plan.
Versions and upgrades, without surprises
Totara runs two upgrade pathways. Long Term Support releases change less often and suit organisations that value stability. Progressive releases bring new features sooner, with more frequent minor versions. Which one fits depends on how much change your users and administrators can absorb.
Lambda Learning starts new customers on Totara 20 and runs every upgrade to a documented seven-step process. Support dates for each version move, so check them against Totara's lifecycle page on the day you plan. Our Totara upgrades and version support guide lists where every version stands in 2026.
Totara or Moodle: which problem are you solving
Both are serious platforms, and Lambda Learning runs both, so this is not a sales comparison. The deciding question is whether your training has to follow an organisational structure and prove compliance, or deliver and sell learning to people outside it.
| If your priority is | Usually the better fit | Why |
|---|---|---|
| Workforce compliance that must be proven current | Totara | Certifications with recertification windows, hierarchies and audiences that assign training by role |
| Development tied to roles and performance | Totara | Learn and Perform share one structure of positions, organisations and skills |
| Member education and continuing education | Moodle | Flexible course delivery without a per-user subscription |
| Selling courses to the public or to members | Moodle, with Lambda Store | Commerce built for course sales |
| Serving many client organisations from one site | Totara | Multitenancy is built in; Moodle LMS does not include it |
If you are selling learning from Totara, Lambda Store is the commerce layer we add. If Moodle fits better, our Moodle LMS buyer's guide covers cost, implementation and upgrades, and managed Moodle hosting covers the infrastructure.
Six questions to ask any Totara partner
Including us. These are where answers genuinely differ between partners, which is why they rarely come up in a scripted demo.
Who owns the data centre?
Ask which cloud the platform runs on, in which region, and which jurisdictions can compel access. Our answer is in Totara hosting in Canada. A partner that cannot name its infrastructure has not been asked often enough.
What is in the one number?
Ask for the quote split into subscription, hosting, implementation, support and upgrades. Lines that appear only in year two are the ones to find now. See how a quote is built in Totara LMS pricing.
Who builds what?
Ask which configuration the partner does and which your team does. Hierarchies, audiences and certifications take real time, whoever builds them. Our implementation plan shows the split.
How are upgrades run?
Ask for the written upgrade process, how rollback works, and whether major versions are included in support or quoted separately. Ours is in the upgrades guide.
Which AI features, at what cost?
Ask which AI features will be switched on, which provider processes the data, and who pays for usage as it grows. See AI in Totara.
Who can we talk to?
Ask for a customer running a comparable Totara site. Ours is Huron Perth Healthcare Alliance, which runs managed Totara with Lambda Learning across four partner hospitals in Ontario, with hundreds of hours recovered annually.
